Do I need to do anything to get my GroupCalendar™-folder in sync?

No. Just set the autosync tool to start automatically by clicking the checkbox under the {Sync. GroupCalendar} button and it will start in the system tray next to the clock when you start Outlook ®. Even better, if you use Exchange Server and choose a public folder as a Groupcalendar™-folder you do not have to sync at all. Everything will be up to date in real time.

Can I have private or hidden appointments ?

Yes, if you check the "private" box at the bottom right of the 'new appointment' screen, it will show up in the GroupCalendar™ with your name in it but without any details. This way people know that you are not available but won't know why.

However, if you type  @@@  in the body of the appointment, it will not be visible at all in the GroupCalendar™.

A third method is to create an extra calendar folder under your default Outlook ® Calendar and use that for your super private items. Use the standard folder for your business items and vacation requests. Your manager can edit these and approve or reject them by editing the subject of your request. You will then get a notification of the change.

Can I make an appointment in the calendar of another user?

Yes you can. Since version 1.6.42.

There are 3 versions of the setup; the one you need to create or edit appointments is SetupUKDA.

  • Make sure you have administrator rights on your pc and Outlook ® is closed (also in ctr-alt-del, task manager, processes);
  • To create an appointment for another user, create it in the GC™ folder. It will ask you after completion for whom the appointment was made;
  • It goes into the database and when the other user synchronizes, it enters into his / her private calendar;
  • To edit an existing appointment click the pencil button and then edit the appointment of your colleague in the GC™ folder.

Does GroupCalendar™ offer any different views for the Calendar?

Try: view, current view, define view, new, TESTVIEW, timeline.

You can use the {filter} option to define "Betty is in subject" and define other views for Jim, Susan and the rest. (Adjust the filter then ;) )
If you enable View, toolbars, advanced, you can switch easy between views. Play with it a bit, views are very powerful.

Remember that when you fill the "department" property in the database with keywords, you can use those keywords in your Outlook ® view to filter or group by the newly added department field.

Can we have two or more GroupCalendars?

I am curious if it is possible to have more than 1 calendar?  For instance, could we have one scheduling calendar, one calendar for checking out hardware and one calendar for signing out the conference room?  We need more then one calendar.

Yes and no. You can not have seperated calendar folders and connect to them at the same time. But the workaround might suit your needs better. Using the view capabilities in Outlook ® you can create views and filters in Outlook ® very easily. On the website you can find an example that creates a view for groups of people but you can also create a view for a specific code in the subject. So you basically have all appointments in one calendar but using the views and filters it's like having 3 different folders. In your case you could all use the code $CR1$ if the appointment subject is for the conference room (or #cr1# or even apple99 if you like) as long as you all use that code and you create a filter the shows only appointments with $CR1$ in the subject you will have your conference room schedule(s).

Can I invite someone?

Yes you can, even over the Internet. For other users to receive an invitation you must first create them in your Outlook ® address book and make sure that after entering the email-address you right-click on the email-address and check the "Always send Rich Text Format" check-box. Then create a new appointment and add the name of the person you want to invite to the list on the "Attendee Availability" tab. If the other user is in your organization and the same GroupCalendar™, you will see the same appointment if they accept the invitation.

Can I produce a HTML calendar for people that only have access to our Intranet / the Internet?

  • Yes. Start by selecting the GroupCalendar™ folder in Outlook ®;
  • On the File menu, click Save as Web Page. If you do not have the Internet Explorer Web Publishing Wizard installed, you receive a prompt that tells you how to install the wizard;
  • Under Duration, type a start date in the Start Date box, and then type an end date in the End Date box;
  • Under Options, choose the options that you want;
  • Type a title for the calendar in the Calendar title box;
  • In the File Name box, type the path to the location where you want to save the files, and then click Save.
    (To use the HTTP protocol, type http:// before the path)

Can I print the GroupCalendar™ other than with the standard Outlook ® layout?

Try this great third party MS Word dot file that has been made available from http://class.et.byu.edu/ce270/sampvba/ Save it to disk and after that double-click it. If nothing happens you should review your macro security settings in Word. Make sure that Medium security is selected. Since 1.6.68 you have the printable GridView.

We have a secretary that does not want her appointments to show in the GroupCalendar™, however, she has to create appointments for other people. Is that possible?

There is a setting for that since version 1.6.57

  • Open Settings - Userinfo;
  • Check the "don't participate" box.

We do not want anything to show in the GroupCalendar™ unless we choose for it. How can we establish this?

  • Install version 'SetupUKDA';
  • Open Settings - Userinfo;
  • Check the "don't participate" box and your private calendar will not be monitored;
  • If you want an item to show in the GroupCalendar™:
    Create a new appointment in the GroupCalendar™
    Answer YES to the question "is this an appointment for another user?"
    Select your own name in the userlist.

My manager wants to add items into the GroupCalendar™ but she does not want us to see all her calendar appointments.  How can we adjust this?

  • Install SetupUKDA.exe and select the option "Don't participate" under Settings;
  • When you want to add an item for all users to see, create it in the GroupCalendar™ folder;
  • When it asks "Is this for another user":
    Select YES and select your own name, or,
    Select the username "Everyone";
  • To create the user "Everyone", open the central shared group calendar database, table TB_users and create a new record with any name you like ("management" is another possibility).

I can not find a way to send reminders to a person or persons  regarding appointments that were entered on their calendar. Is there a way to do this in Outlook ® GroupCalendar™?

  • If you install SetupUKDA.exe you have the ability to add and edit appointments in the GroupCalendar™ including items for others then yourself;
  • If you create a new item in the GroupCalendar™ it will ask you "is this for another user?" if you answer Yes, you will get a list of all users and can select one or more of those;
  • The appointment will wait in the database for the other user(s) to synchronize their calendar and when they do, the appointment will be placed in their personal calendar. Also a box will pop-up informing the user of the new appointment in their calendar;
  • Because the item is now in the personal calendar, the normal Outlook ® calendar reminders will apply to it.
