What is a Windows Scripting Host?

WSH is part of Windows and Internet Explorer. GroupCalendar™ needs it to be on your system and will complain if it is not. Most current Windows versions have it installed. Some Windows 2000, Windows 95 and Windows 98 versions do not have it installed. You can update your WSH version or install it from this website.

How do I use it with Exchange Server?

  • Please have a look at the server product first. It might be exactly what you need;
  • In the Outlook ® folder list, go to Public Folders;
  • Create a new Folder, set it to hold calendar items;
  • Set the permissions of role 'Default' to Author;
  • On every Outlook ® client, run the setup;
  • Under the button Settings, button Select GroupCalendar™, browse to the Public Folder you created and select it;
  • Under the button Settings, button Select Database, navigate to the share on which you placed the GroupCalendar.mdb file and select it;
  • You do not have to enable the systray Autosync tool. The Public Folder will be up to date in real time.

 How do I use it without Exchange Server?

  • In the Outlook ® folder list you already have a sub folder named GroupCalendar™;
  • Under the button Settings, button Select Database, navigate to the share on which you placed the GroupCalendar.mdb file and select it;
  • You will have to enable the systray Autosync tool. It is under button Sync GroupCalendar™, check the option "Launch auto-sync on start-up";
  • No other actions are needed.

Can I import my existing appointments?

Yes. Get the small import utility here. Or simply close Outlook ® and delete your name from the database table 'TB_Users'. It will offer you to import the next time you start Outlook ®.

I use a laptop and I am not connected to the network all the time. Is that a problem?

No problem. GroupCalendar™ takes care of everything.

I work off-line from the Exchange Server and the network. I dial in every now and then and sync all folders. How do I use GroupCalendar in this case?

Make sure that you connect yourself. Don't let Outlook ® initiate the connection. If GroupCalendar™ sees the central database again it will start to sync your offline changes automatically.

We do not have an Exchange Server and work off-line from the network where the shared Access database resides.  We dial in every now and then.  How do we use GroupCalendar™ in this case?

Connect to the shared database when dialed-in with the "select database" button. If the connection is broken GroupCalendar™ will automatically use a local cache.

I have a number of users connected to my Exchange Server permanently, and I have a few mostly travelling. The travelling users connect over VPN or come in every now and then. How do I set it up ?

First of all: send us an email for support on this one if you do not get it up and running in 15 minutes (or call!).

  • Create a public folder of type calendar, Rights;  you as an owner, others as an editor;
  • Install SetupUKEx on your pc and select the public folder as your GroupCalendar™;
  • Copy the GroupCalendar™ database to a read / write share on your network;
  • Select the database in your settings;
  • Create your first appointment in your calendar;
  • Check if it goes into the Public Folder;
  • Delete it from your Calendar and check if it deletes as well from the public calendar;
  • If all works OK install all other users with a permanent connection to the Exchange Server (all with SetupUKEx!).

For the laptop users do the following:

  • Install SetupUK.exe on those laptops;
  • Create a personal store on the laptop and move the GroupCalendar™ folder that the setup created for you into the PST;
  • In the settings of GroupCalendar™, select the central database on your network;
  • Don't forget to select the GroupCalendar™-folder in the PST-file as the GroupCalendar™ for those laptop users;
  • Enable the autosync tool on the laptop (it is a checkbox under the synchronize button).

Now you need ONE pc on your network (or a server with it on) where you start the autosync tool that you can find in c:\program files\Group Calendar. This gcsystray.exe is installed with the setupUKEx but normally not in use for that version. It is important to have the sync tool running all day. Every 30 minutes would be fine. The sync tool makes sure that appointments, created by the laptop users will appear in the public folder you use with your permanently connected exchange users.

We do not have a server at all, no peer to peer, no LAN... now what ?

You can use a web server and replication:

Or connect a pc to the internet and set it up as a VPN enabled server where you can share the database so you and your team can connect to it over the internet.

How to connect to our SQL server database over the Internet?

On your NAT firewall / internet router, route port tcp/udp 1433 to the SQL server's private ip address. If you configured SQL server to listen on an other port than default 1433 you can use the SQL Server Client Network Utility to setup an Alias and change the port on the client. In GroupCalendar™; Settings; Select Database, Select the SQL server checkbox and fill in the name or IP address of the internet router.
